Q4 Corporate Chocolate Gifting: Who Gets a Gift, How Much to Spend, and When to Ship

By the time someone opens a holiday gift, all the important decisions have already been made. The right people were identified, a budget was planned, and the order was placed early enough for every detail to come together.

At andSons Chocolatiers, we know what a memorable gift looks like long before it leaves our shop in Beverly Hills. Every holiday season, we work with companies to plan gifting programs that reflect their relationships, their goals, and the care they want recipients to experience when a box arrives at their door.

This guide covers the planning behind a successful Q4 corporate chocolate gifting program, including recipient tiers, budgeting, ordering timelines, and holiday shipping.

Who gets a chocolate gift this year?

Start with the relationships that made a difference this year. Instead of organizing your list by job title, organize it by impact. Think about the accounts and partners who drove growth and the team who helped keep everything moving. Before setting a budget, divide your list into recipient tiers. Those tiers will help determine how much to spend, which gift gets additional personalization, and which orders to ship first.

For many companies, the list includes:

  • Top clients and accounts. The few driving most of your revenue. They earn the most personal gift and the earliest ship date.
  • Referral partners and sources. The people who quietly send you business. High return, and the group most often forgotten in December.
  • Active clients mid-relationship. Steady accounts below the top tier that still deserve a real acknowledgment.
  • Your team. Employees change the logistics more than the cost, since volume and multiple addresses complicate the ship.
  • Key vendors. The suppliers you depend on notice when the gratitude runs both directions.

Not every relationship calls for a holiday gift. So who should you leave out?

  • Skip anyone whose employer caps or bans gifts, which is common at banks, public companies, hospitals, and government offices. A gift that breaks a recipient's policy becomes their problem, so it works against you.
  • Go modest, or skip a physical gift, for a prospect inside an active deal. A box arriving mid-procurement can read as influence, so a note now and a gift after signing lands cleaner.
  • Resist mass-gifting cold prospects who have never spoken with you, because a stranger reads an unsolicited box as marketing, and the cost per unconverted name adds up fast.

At andSons Chocolatiers, we build corporate programs around a recipient list and a single invoice, so a tiered list like this one ships as one order. Interested in learning more?

How much to spend per person

Spend by relationship value, and treat the tax rule as a separate line. What the relationship is worth to you sets the gift. The IRS sets a much smaller, fixed number for the deduction.

Here is the rule people trip on. The IRS lets a business deduct only $25 per recipient each year for gifts, under Section 274(b) of the tax code. That cap was set in 1962 and has never been adjusted for inflation, so it stays at $25 whatever you spend. Two useful details sit inside it. Packaging, insuring, and mailing do not count toward the $25, and branded items costing $4 or less are exempt entirely. So a $70 gift to a top client is reasonable; you deduct $25 and spend the rest because the account earns it. (The $4 rule is why branded chocolate gifts sit in their own category.)

A workable set of tiers:

Broad tier ($15–$35 per person)
For employees and your wider partner network. Keep the gift simple and consistent, especially when shipping to many recipients.

Mid tier ($40–$75 per person)
For active clients and referral sources. This is often where a personalized note or small customization has the greatest impact.

Top tier ($100+ per person)
For your highest-value accounts. Personalize the experience, consider premium packaging, and schedule these gifts to ship first.

Note: The math changes for senior relationships, which executive gifting treats in more depth.

One call worth making out loud: do not spread a thin gift across a giant list. Twenty considered gifts to the people who drove your year beat two hundred forgettable ones, and they cost less to ship well.

When to order and ship

Holiday ordering is where well-intentioned gifting programs fall apart. The window is shorter than most people expect, and custom orders don't accommodate last-minute decisions.

Now through September. Finalize your recipient list, decide on customization level, and submit artwork if you're going with a custom logo-printed box or branded sleeves. Earlier submission means more time for design revisions and sample approval.

October 1. Hard cutoff for custom logo-printed box orders for guaranteed Christmas delivery.

October through early November. Window for standard Signature Boxes, Gift Collections, confection add-ons, and 4-piece party favor boxes. Most corporate holiday chocolate programs should be confirmed and in production by this point.

November. Final window for non-custom orders. Q4 timelines extend quickly as volume increases.

December. LA metro clients can access same-day courier delivery. For national orders, andSons Chocolatiers ships exclusively via FedEx with a 2-day maximum transit window, ice packs included, and weather checks at origin, destination, and transit hubs. The No-Melt Guarantee applies to all corporate shipments.

For multi-recipient programs, the concierge service handles nationwide drop-shipping across the US and Canada — provide a mailing list and andSons Chocolatiers manages fulfillment, shipment tracking, and individualized gift cards for each recipient.

Frequently Asked Questions

How much of a corporate gift can a business deduct?

The IRS allows a deduction of $25 per recipient each year for business gifts, under Section 274(b). Packaging, insuring, and shipping do not count toward that $25. You can still spend more than $25 on the gift; only the deduction is capped.

When is the last day to ship corporate chocolate gifts before the holidays?

Aim for arrival between December 8 and 18, before offices thin out. For 2026, the USPS Ground Advantage cutoff is December 17 and FedEx Ground Economy is December 14. Ship a few days ahead of those, and confirm the dates once carriers finalize them.

Will chocolate melt in shipping?

It can soften and bloom once temperatures reach the high 70s to 80s°F, and melt fully between 100°F and 120°F depending on type. andSons Chocolatiers ships corporate orders by FedEx, weather-checked at every transit hub, and adding cold packs helps for hot destinations.

Is it okay to send a gift during an active deal?

Be cautious. Many companies cap or ban gifts during procurement, and a box arriving mid-deal can read as influence. Send a note now and the gift after the deal closes, or keep it modest.

Is it fine to give employees and clients different gifts?

Yes, and it is often smarter. Spend by relationship value, give your top accounts a more personal gift, and keep the wider team and partner gifts simpler so the larger volume still ships on time.

How far ahead do I plan Q4 corporate gifts?

Lock your recipient list and addresses by early November, and place volume orders by mid-November. andSons Chocolatiers works at low minimums, and custom packaging runs two to three weeks, so an early list keeps every ship date open to you.
